Pre-shipment inspection / China

Check the product before the balance is due.

Agree what good looks like, document what is actually being produced, and address problems while the supplier can still fix them.

Starting price: $120 for an on-site pre-shipment inspection — quantity, quality and packaging, photo and video evidence, written report. See all published prices ↗

Best for: an order in sample approval, production, or final packing—especially when the next step is a balance payment, shipment booking, or release of goods.

When to book a pre-shipment inspection

The highest-value inspection happens after production is complete or sufficiently finished to review, but before final payment or shipment. Typical triggers include:

  • Your first production order with a supplier
  • Goods have passed the sample but need production verification
  • The factory has reported completion and requested the balance
  • A defect, labeling, or packaging concern appeared earlier in the order
  • You cannot visit the factory before shipment
  • You need documented evidence to support an approve, correct, or hold decision

Inspection begins with an agreed standard

“Looks good” is not a useful acceptance standard. The checklist should reflect the approved sample, specification, packaging requirements, and the defects that matter most to your product and market.

  • Product dimensions, materials, function, and workmanship
  • Approved sample and specification alignment
  • Color, finish, labeling, and packaging checks
  • Quantity, carton condition, and visible shipping preparation
  • Photos, video, measurements, and objective observations
  • Issue escalation while corrective action is still practical

What the report can show

The exact method depends on the product and the agreed scope. A typical inspection record can include:

  • Date, location, participants, and production stage
  • The checklist used and the evidence collected
  • Measured findings and visual examples of defects
  • Items that passed, failed, or need clarification
  • Recommended corrective actions and next decisions
  • An honest statement of what was not checked

MethodAgreed checklist, sampling plan, measurements, and evidence
FindingsPassed, failed, unresolved, and not checked within scope
ActionCorrective items before payment, packing, or shipment
NEXT DECISION Approve, correct, hold, or re-inspect. Recommendations remain separate from laboratory testing and regulatory certification.

Inspection scope and quote factors

The method should match the product and risk. A simple finished-goods check is different from a production-line review, packaging audit, or measurement-heavy custom product.

ScopeTypical purpose
Pre-shipment checkFinished-goods quantity, workmanship, function, labels, packaging, cartons, and evidence against an agreed checklist.
During-production checkEarlier verification of materials, process, first output, and corrective actions before the full order is complete.
Sample reviewStructured comparison and observations before production approval, where the product and standard can be assessed in person.
Testing or certificationLaboratory, compliance, and certification work arranged with qualified third parties and quoted separately.

Quote factors include factory location and travel, product and SKU count, order quantity, checklist complexity, sampling method, required measurements, report deadline, access, and any third-party testing.

How the inspection is arranged

  1. Share the product and stage. Provide the specification, approved sample, supplier details, order quantity, and requested inspection timing.
  2. Agree the checklist. Define the critical requirements, the evidence needed, and the acceptance criteria before the visit.
  3. Inspect and document. The supplier is informed of the visit and the agreed checks are recorded on site.
  4. Report before the next payment. Findings are shared promptly so you can approve, request corrections, or hold the order.

Questions buyers usually ask

Can you guarantee there will be no defects?

No. Inspection reduces uncertainty by checking an agreed sample against agreed criteria. It does not guarantee every unit, replace laboratory testing, or transfer product liability.

Can you inspect at any factory in China?

Most locations can be considered. Travel time, access requirements, availability, and third-party costs depend on the factory location and inspection scope.

Can you coordinate the correction with the supplier?

Yes, supplier follow-up and issue escalation can be included when agreed in advance. Whether re-inspection is needed depends on the findings and the corrective action.

How soon can an inspection be arranged?

The first reply is normally targeted within one business day. Availability depends on factory location, access, inspection scope, and notice. Send the production stage and required date early; urgent timing should be confirmed before making shipment commitments.

Can the report be in English?

Yes. Agree the language and reporting format in the scope. Product specifications, labels, supplier messages, and evidence can be preserved alongside the English findings where relevant.
