China supplier verification checklist.

A practical first-pass checklist for overseas buyers who need to check a new supplier before paying a deposit.

Identity Factory claims Capability Payment red flags

Important: this is a commercial sourcing checklist, not legal, accounting, certification, or regulatory advice. Verification reduces avoidable uncertainty; it cannot guarantee that a supplier is safe.

1. Verify the supplier’s identity

Start by confirming that the salesperson, website, contract, invoice, and payment beneficiary all point to a coherent legal and operating entity.

2. Test the factory claim

“We are a factory” is a business-model claim that should agree with the location, equipment, staff, capacity, and documents you observe.

3. Check product fit and capability

A supplier can look established and still be a poor fit for your product. Ask for evidence specific to what you intend to buy.

4. Stop for unexplained payment and authority red flags

Urgency and authority changes deserve special attention because they can bypass the normal evidence collection.

5. Send five questions before the deposit

A useful reply is specific and internally consistent. Copy these into your supplier conversation:

  1. What is your exact Chinese legal name and unified social credit code?
  2. Are you the manufacturer, a trading company, or a mixed model—and who produces which process?
  3. Which production address will make our order, and what evidence can connect it to this company?
  4. Who will inspect and approve the first output and final goods, using what checklist?
  5. What is the exact contract, invoice, and bank beneficiary relationship?

6. Decide: green, amber, or red

Do not turn a list of documents into a false sense of safety. Make the decision depend on the evidence that matters for this order.

GREENIdentity, fit, and key claims are consistent; remaining uncertainties are non-critical and understood.
AMBERA central claim is unsupported or contradictory. Gather evidence or arrange a visit before paying.
REDMaterial identity, authority, beneficiary, or capability concerns remain unexplained. Stop.

Remember: the goal is not to make a supplier look perfect. It is to expose what is known, what is still missing, and what that means for your next payment.

Still unsure what the evidence means?

Send the supplier link, product, order value, and the claim that concerns you most. You will get a practical response about what can be checked next.
